Note to Participants and Coordinators

IBARMS is pleased to announce that the Keystone conference provides internet access to all participants while attending their workshops. Materials are distributed and communications are shared electronically.

Therefore, it is imperative that:

  1. All participants must bring a laptop or tablet with necessary materials downloaded to the desktop prior to arriving at Keystone.
  2. Accurate participant names and email addresses must be updated in the registration system by May 15, 2017.

Registration

  1. Create an account.
  2. Select the session you or your staff would like to attend and choose the number of slots you need for each.
  3. Check out and make a payment. Enter the names and email addresses of the attendees for each course if known at this time. Make sure to have this information completed by May 15. Please make sure to tell your Bookkeeping or District to put your school name, your coordinator’s name, your name and course you have registered for on the payment

Workshop Logistics

Materials to bring:

  • Each participant must bring a laptop or tablet that has space on its desktop for downloaded materials and can access the Internet.
  • Participants in a Category 2 or Category 3 workshop must bring their OCC access information.

Internet access at the conference

Keystone is a wireless conference and therefore limited in the use of paper. Internet access is available to all participants in their session rooms at no charge. Keystone lodging rooms also provide free wireless Internet access.

All conference participants are expected to bring a laptop or tablet.

Certificates of attendance will be given to attendees on the last day of the conference. Additional copies may be purchased at a later date for $5.

Meals included:

  • June 26 and 27: breakfast and lunch
  • June 28: breakfast

Meals are served buffet style at Keystone, vegetarian and gluten sensitive items will be available and labeled. Special requests regarding hotel room accommodations should be made directly with Keystone Resort at the time of room booking.

Your name badge is your ticket to meals. Please wear your name badge at all times during conference hours. IBARMS staff will check badges as you enter the meal room. A replacement cost of $10 will be charged for lost badges.

College Credit Available

One hour of graduate credit is available through Kent State University.  Pre-registration is required, as is additional tuition and additional assessment. Contact Kent State University directly.

Lodging and Travel Information

Hotel

The rustic yet elegant Keystone Lodge is located 1 ½ hours west of Denver. Bustling and energetic, Keystone’s original village has a festive atmosphere that includes shops, galleries, restaurants and the Keystone Lake. Many summer activities such as bike rental, horseback riding, hiking, and golf can be found just outside your door.

Hotel rooms cost as low as $99 for a one bedroom condo but space is very limited. Studios, 1 and 2 bedroom condos range up to $229 per night (3 bedroom condos also available). If you are able to prove your tax-exempt status, please make sure to request tax exemption at the time of reservation. Cancellations within 30 days of arrival will forfeit the full deposit amount. Cancellations made outside of 30 days of arrival will result in return of the deposit less a $30 processing fee, a standard for Colorado resorts.

PROOF OF TAX EXEMPTION FOR YOUR ORGANIZATION: if your organization qualifies for sales tax exemption, the proper documentation is required prior to or at the time of check in, or Keystone will apply tax to your lodging charges. Groups can arrange shuttle transportation (see below) through Keystone Resorts at the time that the room reservation is made.  Keystone Reservations agents require airline & flight numbers for the arrival and departure as well as the time you will arrive and depart from DIA.

Airport to Resort Shuttle

  • Please allow at least two hours to travel by road from the airport to the resort.
  • Discounted door-to-door ground transportation to and from the Denver International Airport (DEN) to Keystone Resort is available up to 3 days before and after the conference. Colorado Mountain Express has been selected to assist with your travel needs.  To receive the special conference rate ($53 each way), please call 1-800-525-6363 or visit ridecme.com in advance and reference group code IBARMS.
  • You may also wish to inquire with car rental agencies, particularly if you are coming to Keystone as a team of 3 or more.

Mountain Living: What You Need to Know

IBARMS is pleased to announce that the Keystone conference provides internet access to all participants while attending their workshops. Materials are distributed and communications are shared electronically.

  • Transportation. Once at Keystone Resort you can leave the rental car behind. Keystone Resort has its own comprehensive complimentary transportation network between conference facilities, lodging accommodations, restaurants and recreational activities.
  • Dress for comfort.  Some meals will be served outside, so dress in layers.
  • Altitude.  Beautiful and scenic Keystone is nestled in the Rocky Mountains with an elevation of more than 9000 feet.  People with special health concerns are advised to take the altitude into consideration.
  • Weather gear advice. You may want to spend some time outdoors in Colorado’s always interesting weather.  Please bring walking shoes and rain wear.
  • DRINK WATER. DRINK WATER. DRINK WATER.

Registration/Cancellation Policies

  • Registration for the 2017 Keystone conference opens January 1, 2017. The fee is$880 through May 15, 2017. Late registration is possible on a space available basis through June 10, 2017. The late registration fee is $930.
  • Substitutions (changing one person to another in the same workshop) can be made by the account holder by June 10, 2017 without charge (login ==> Your Account ==> Current Courses). For Substitutions after June 1, please contact: workshops@ibarms.org. Substitutions received after June 10, 2017 may be assessed a $20 late change fee. On-site substitutions involving subject changes may be assessed a $50 fee.
  • Transferring an attendee from one workshop to another must be done by the Registrar, and a request can be made in writing through June 1, 2017 without charge. Transfers are made on a space available basis when requested in writing.
  • Cancellations. Registrants unable to attend may receive a refund less a $50 cancellation fee provided the cancellation is requested in writing by June 1, 2017.  Because conference arrangements are finalized on this date, we are unable to accommodate cancellation requests made after June 1, 2017.

On-site changes made at the conference may be assessed a $50 fee.
